The problem

Paper run-sheets leave the office in the dark.

When the run is on paper and proof of delivery comes back hours later, the office is guessing. A wrong address, a missed pallet or a damaged load only surfaces once the driver is home, and a check scribbled on a pad is no defence when the DVSA calls.

Driver day, the old way

  • Job details on WhatsApp, hard to find
  • Paper POD in the cab, sometimes lost
  • Walkaround on a clipboard, rarely checked
  • Phone calls to the office for every change

Driver day, in HaulierMagic

  • Every job, address and reference in one app
  • ePOD captured at the drop, in the system
  • Verified walkaround before the wheels turn
  • Live messaging back to the planning desk
What the driver gets

Everything the driver needs, nothing they don't.

One app for the whole day: the run, the route, the checks and the paperwork, built to be used one-handed at the back of a lorry, not at a desk.

The day's run, in order

Drivers open the app to their stops for the day in sequence, with addresses, references, pallet counts and any special instructions. No run-sheet to lose, no calling the office to ask what's next.

Proof of delivery at the door

Capture a signature, photos of the load and delivery notes on the doorstep. Every POD is timestamped, geotagged and synced to the office and the customer portal in seconds.

Walkaround checks and defects

A guided daily walkaround check the driver can't skip, with photos on any defect. Records are stored, searchable and ready for the DVSA, and defects go straight to the workshop.

HGV-safe navigation built in

Turn-by-turn routing from NavigateMagic that keeps drivers off unsuitable roads and clear of low bridges and weight limits, using the vehicle's own dimensions.

Two-way messaging, and it works offline

The driver and the office talk in the app, with a full audit trail and no WhatsApp. And because drivers lose signal in yards and on rural runs, the app keeps working offline and syncs the moment a connection returns, so a job is never held up by a missing bar of signal.

How it works

From job to proof, without a single phone call.

1

The job arrives

The planned run lands on the driver's phone, with every stop and detail.

2

They drive it HGV-safe

NavigateMagic guides them turn by turn, clear of low bridges and weight limits.

3

They capture proof

Signature, photos and notes at the door, timestamped and geotagged.

4

The office sees it live

Proof and status sync instantly, so the office and the customer know the moment it's done.

What it changes

Fewer calls. Cleaner proof. A compliant fleet.

Stop chasing drivers

Live position, status and ETAs mean the office can see the run without picking up the phone.

Settle disputes in seconds

A timestamped, geotagged POD with photos ends "it never arrived" before it starts, and gets invoices out sooner.

Stay ready for the DVSA

Every walkaround check is recorded and searchable, so your compliance evidence is ready before anyone asks.

Sending drivers their jobs through the app is fantastic. It eliminates mistakes, they have all the information in front of them.

Questions

What every TM asks about putting an app in the cab.

Will my drivers actually use it?

It's built for one-handed use in a cab or at the tail-lift, with big targets and a short path to every task. Most drivers are comfortable on day one, and there's nothing to learn beyond their normal routine.

Does the app work without signal?

Yes. Jobs, addresses, references, walkaround forms and ePOD capture all work offline. The moment the signal returns, everything syncs back to the office in the background.

What can drivers capture as proof of delivery?

Signatures on glass, photos of the load or any damage, delivered quantities and free-text notes. Each POD is timestamped and geotagged, then synced to the office and the customer portal.

What phones does it run on?

iOS and Android. Drivers can use their own phone or a company device. No specialist hardware required, no rugged terminals to buy.

How long does it take a driver to learn?

Most drivers are comfortable inside a single shift. The app is built around how a driver actually moves through the day, not around how a piece of software wants to be used.

Can the driver still talk to the office?

Yes. Two-way messaging is tied to each job, so the conversation stays with the work it's about, not buried in a WhatsApp thread three weeks deep.

What happens with the walkaround if a defect is found?

The driver photographs and notes the defect in the app. It flags to the workshop and the TM immediately, and the vehicle is held until it's signed off. Every step is recorded.

Does it work for subcontractor drivers too?

Yes. Subcontractor drivers can use the app on their own phones, so the office sees the same job status whether the load is on your fleet or a sub's.
